Attributes and Metadata

Organize Your Archive Effectively

Large corporate archives often make it especially important to keep track of all information. Documents, E-Mail messages, files, and other types of information need to be retrievable quickly and easily whenever they are needed. Simply retaining information is usually no longer enough, given the constantly growing amounts of data. The innovative EMA® attribute system can help you bring order into your archive. By adding additional information, your data will become easier to use. Furthermore, you can organize archived content depending on your individual needs.

Archived data receives additional pieces of information (metadata), which can either be added to every object manually, or automatically as part of a bulk operation. This additional information can later be utilized in conjunction with the search engine to make it easy to find the data you need. Especially in large archives, this dramatically reduces the time spent looking for information. The Basic Attribute System provides ten common attributes that cover typical scenarios such as dealing with private E-Mail messages, setting up department archives, placing restrictions on deletion, or ensuring compliance with legally mandated retention policies:

These predefined attributes already allow you to implement many common compliance and privacy regulations in an intuitive manner. They use predefined EMA features to allow you to perform automatic, legally compliant post-processing of data and information.

The powerful Enterprise Attribute System takes the implementation one step further and provides a custom attribute editor, which allows you to define and assign up to 100 additional attributes according to your individual needs. The flexible text, numeric, selection, memo, tagging, and Yes/No fields provide various ways to structure and customize your existing data. This goes far beyond conventional tagging offered by other vendors. Only EMA makes it possible to replicate complex information and structures precisely.

Attributes can also be assigned to multiple documents or e-mail messages simultaneously, and can even be assigned to an entire search result using a single mouse click. In combination with our powerful search engine, users can search the archive for specific attribute values, view search results, and restore documents quickly and easily.
