Cost savings through fast research

In many companies, employees spend 10-20% of their working time searching for documents. Third parties are often involved in the search and valuable working time is wasted on researching data

EMA is particularly suitable for unstructured company data and has an extremely fast search engine. In addition to a high-performance full-text search, it is also possible to search by attributes, and there are various combinable search operands

For example: Find me an e-mail with "Trade Fair Report" in the subject line but not "2022", which was transmitted from sender "John Doe" to recipient "Jane Doe".

Organizations can further facilitate search by automatically extracting metadata when importing data sources. For this purpose, 200 different attributes are freely available with the EMA feature "Enterprise Attribute Editor". For example, customer numbers can be automatically extracted from standard business letters. Thus, EMA enables an even more targeted search than the full-text search. With the help of linking attributes, files can be specifically linked during import and collections of documents can be stored as a digital "file". This saves valuable working time without the need for personnel.

Mapping personal classification systems in EMA

With the help of the EMA feature "Folder synchronization", the personal structures of employees in the e-mail system or the structure of file servers can be adopted. Depending on the preference, the personal search is also supported here, without the need for administration handles. Employees can use their familiar systems, such as Outlook. This way, work is done quickly and efficiently. There are no training costs for third-party systems such as SAP. The company saves time and money.

EMA ensures secure data access with convenient administration

With EMA, roles and rights from central directory services of the company can be undertaken. This always ensures that employees only see the data to which they also have access in the original system.

EMA is a true data vault: encrypted, signed and time-stamped documents are archived on a storage system of choice. Preferably, we use the in-house product VSTOR® Vault MD1400, a direct attached storage. Here, EMA takes over the storage management and even encrypts the file system, so that a cyber attack from the outside is impossible due to the lack of addressing options - the storage manages without an IP address.

EMA solutions can be up and running in a very short time with just a few clicks and basic information without changing the existing applications or IT infrastructure. This saves time and money.

Updates are also basically "silent", because all EMA versions are always downward compatible.

EMA saves costs during migrations

During file server migrations, the change of e-mail systems such as from Exchange to O365 or the change SAP R/3 to SAP S/4HANA, EMA provides great services to employees as a research source for legacy data. E-mails or documents can be conveniently found and easily restored to the new system, allowing you to start with a fresh system without having to give up the use of legacy data. This saves operating costs because legacy systems can be shut down more quickly when all data is available in EMA. The replacement of storage systems is also easy to realize, because EMA is independent of them, supports all existing systems on the market and adapts to the ever-changing market trends.
